             Introduction             ::

The Asset & Configuration Manager and Specialist are service roles that support add, move, or change asset data tasks. The Add/Move/Change Process is used to submit requests and updates for computing equipment records in the Integrated Service Management Platform (ISMP) tool. This process is used when a service has an add/move/change need for their computing equipment.

 

Computing equipment are important Intel assets that require specific security policies to be followed. Two relevant policies include:

Security Policy #30.1

All computing devices purchased by Intel, or for use on any Intel network, must be registered and kept current in the Intel Corporate system of record tool for asset management.

Security Policy #30.4

Users must take every reasonable precaution to protect their computing devices and the information on them from theft or loss. Such precautions must include a combination of at least one physical and one electronic security control at all times.


Note Intel facilities have physical access controls to buildings which serve as one level of physical security. Additional controls are required in less secure locations, for more sensitive information, and for mobile or critical systems as described in Physical Protection of Assets. Corporate systems must be located in a physically secured data center or network room. All Intel managed laptops must have an IT approved full disk encryption product installed.

 


The benefits that the Add/Move/Change Process provides include:

Efficient traceability and tracking of computing equipment resulting in reduced exposure to legal, security, and financial risks. Improved data quality and accuracy for:
  • Financial reporting of capital assets,  and
  • Registration of purchased assets.
  • Stronger capabilities to manage assets and computing equipment in a structured, systematic process using the Integrated Service Management Platform (ISMP) tool.

    There are multiple types of add/move/change requests available through the ISMP tool. Some types and functions are used more frequently than others, and some are dependent on the service being supported. There are also types and functions available for users from  Personal Computing Platform (PCP)  and  Non Personal Computing Platform (Non PCP)  services for those individuals without Asset & Configuration Manager or Specialist roles.

    Key Terms:  Integrated Service Management Platform (ISMP)   {showhide title="See More ..." changetitle="Hide ..."}

    Assigned To: The WWID of the employee or contingent worker who is the contact person for the asset. Radio Frequency Identification (RFID) The unique identifier for the radio frequency identification tag attached to the equipment. To uniquely identify the item and physically locate it with an RFID reader.
    Company Code The unique code indicating an Intel legal organization (legal entity). Serial Number Manufacturer's serial number physically and electronically listed on the equipment. Serial numbers are typically unique numbers used to track computer systems for identification.
    Cost Center The unique code indicating a department budgetary unit that designates the part of the corporation owning the asset and receiving depreciation. Spare A spare is equipment that is required to be available in case a production part has a hardware problem. Spares may be on-line (in use) or offline (in stock).
    Manufacturer The name of the company that manufactured the product. Status The current stage in the equipment lifecycle. Also referred to as assignment or lifecycle state.
    Model The manufacturers part number, reference number, or name for the product. Sub Status The equipment's Status and Retirement Reason. It provides further description of the CI's specific lifecycle state.
    Name Indicates the identified Machine Name, Computer Name, or Network Name. This represents the short or long network name for the computing equipment. When equipment is not on the network, an alternate name or S/N (serial number) may be used. Support Group The support group responsible for physically managing the hardware. This could be defined at the service, component, or support skill level.
    Product A name that describes the product or product family. It is typically the name the manufacturer uses to describe the item.    
    Purchase Order (PO) The PO number that was used to purchase the equipment. This is used during the settlement process to help create assets in the financial asset tracking system.

    The Asset & Configuration services are structured per the below team image. The steps identified in the Create, Change, and Retire sections apply to the Hardware Asset Management (computing equipment) process that includes Asset & Configuration Manager and Specialist roles. Task activities are completed using the Integrated Service Management Platform (ISMP) tool and processes.

    Roles & Responsibilities

    The Add/Move/Change Process focuses on job role performance by the Asset & Configuration Manager and Specialist.
    Roles in Audit & Verification Process The primary responsibilities include:
    • Validate the completeness and accuracy of your service's asset & configuration data in the configuration management and accounting systems.
    • Support/enable your service personnel to know and compily with asset and configuration management policy and process requirements.
    • Ensure your service is staffed and trained to perform asset & configuration activities.
    Roles in Audit & Verification Process The primary responsibilities include:
    • Support the software and computing hardware for your service.
    • Submit requests to update the Configuration Management System when your service adds, moves, or changes the software or hardware being used.
    Key tasks:
    • Ensure the service is informed and complying with the asset & configuration management policies and processes.
    • Ensure the service has people assigned and trained for asset & configuration management roles.
    • Identify software or hardware items managed by the service, and manage the association of the items to the support group and service.
    • Identify sources & methods to automatically collect configuration data.
    Key tasks:
    • Receive computing equipment.
    • Tag computing equipment with RFID tags and/or other required labels.
    • Move computing equipment to suppliers for repair or replacement.
    • Submit surplus pickup requests.
    • Report lost or stolen computing equipment.
    • Submit requests to add or update asset & configuration data.
    • Perform bulk updates of asset & configuration data when needed.

    The Hardware Asset Management process functions in the ISMP tool. The above Asset & Configuration structure highlights 5 functional steps that comprise the Hardware Asset Management process including:   Create Asset,  Move/Change Asset,  Retire Asset,  Audit,  and  Asset Reporting and Analysis functions.

     

    The following model represents the full lifecycle of equipment from scheduled arrival time until the equipment is arranged for disposal.

    Hardware Asset Management: State & Sub Status

     

    Status and Sub Status Definitions
    In Stock

    In storage, not actively contributing to service delivery or capable of use.

    • Available - on hand to fulfill future project needs or service requests of the service or portfolio.
    • N/Available - Temporarily unavailable.
    • Reserved - Used to fulfill a specific project need or service request.
    • Spare/Hotswap - Set aside to replace in use equipment that break.
    • Excess/Surplus - No longer needed by service, can be used by another service or turned in for Surplus Pickup.
    In Use

    Actively being used to contribute to service delivery.

    Vendor Repairing

    Vendor repairing and it will be returned.

    Unknown

    No longer seen on-line & no state update made.

    In Transit

    Exited the room or office and not at its new location.

    In Disposition

    Processing for disposal.

    • Processing - Being processed and intended path is to be determined.
    • Donate - Intended to be donated.
    • Reuse - Intended to be re-used. If the item can be reused, the status will be updated from In disposition/Reuse to In Stock.
    • Resale - Intended to be sold.
    • Scrap - Intended for disposal.
    Retired

    Financial ownership or obligation and possession terminated.

    • Donated - Item was donated to an external organization.
    • Scrapped - Item was disposed of.
    • Sold - Item was sold.
    • Lost/Stolen - Item was lost or stolen.
    • Lease Return - Leased equipment is being returned because the lease period has ended and it is not being renewed.
    • Credit/Trade In - Equipment is being returned to the vendor as a credit or discount for a purchase.
    • Duplicated/Error - Record was created in error.
    • Divested - Item left Intel's possession/ownership as part of a divestiture.
    • RMA - Return Merchandise Authorization. The vendor authorizes to return of broken or defective equipment.
    • Not for Intel use - The record was retired because the item will not be in Intel's possession, ownership, or used on the Intel network.
    • Unknown - Reason not known.

     

    Returned Status and Sub Status Definitions
    In Use

    The item is being actively used to contribute to service delivery.

    In Transit

    The item has exited the room or office and not at its new location.

    Vendor Repairing

    The item is being repaired currently by the vendor and it will be returned.

    Unknown

    The item is not seen online & no state update is made. "Unknown" status can be updated to any ISMP system status available.

    In Disposition

    The item status is set through the Disposition process.

    Retired

    The financial ownership/obligation and possession is terminated.

      Manager/Specialist Role:  Tasks  ::

    There are several requests that users with no ISMP access can perform. Requests can be executed by users without an Asset & Configuration Manager or Specialist role. The following indicates what request types and method can be used by Intel employees who are not Asset & Configuration Managers or Specialists and who do not have ISMP tool access.

    Receiving New Computing Equipment from a Supplier

    Updating an ISMP record for newly procured computing equipment that has just reached an Intel site may involve changing the computing equipment Location, Status, SubStatus, Support Group, or Assigned To fields.

    Updating Location and Status of Computing Equipment

    Updating the location data can be done when computing equipment is relocated from one physical location to another within the same Intel site, or when computing equipment is relocated across different Intel sites.

    Request Record Update

    1. The Request Record Update is a function primarily for any Intel employee who is without the relevant record update permissions in ISMP.
    2. When a submission is completed, the request is routed to the Asset & Configuration Administration team.
    3. The assigned administrator performs due diligence including a request review, contacting the requester for clarification, etc.
    4. The administrator completes the request with the required updates in the ISMP Asset & Configuration Management system.

    Create Record

    • Create Record function is to register a computing equipment as an asset in the ISMP Asset & Configuration Management system.
    • The function can either be performed by an Asset & Configuration Specialist or Manager.

    Return Asset to Manufacturer

    • Return Assets to Supplier function is used by the Asset & Configuration Specialist or Manager whenever any computing equipment needs to be returned to its supplier as either a "Returned Merchandise Authorization (RMA)," "Trade-In," or "Lease-return."
    • The function does not support returns due to repairs. A Hardware Asset Repair request must be created.
    • The Return Asset process begins with a Return Asset Task. It ends with the returned computing equipment being flagged as a 'retired' hardware asset and its replacement being recorded as a new Hardware Asset in the ISMP Asset & Configuration Management system.

    Deploying Computing Equipment to an Intel Employee

    The Asset & Configuration Specialist or Manager is required to perform an asset deployment function in the ISMP Asset & Configuration Management system whenever a computing equipment is issued to an Intel employee.

    • The Asset & Configuration Specialist or Manager is required to "formally receive" returns in the ISMP Asset & Configration Management system when an Intel employee returns any client computing equipment to an IT Stockroom or PC Service Center.
        Examples include the return of computing equipment due to Last-Day-Office (LDO), surpluses, or
        the end of loan tenure.

    Opening and Printing Repair Ticket

    • Whenever any computer equipment needs to be repaired, a new Repair Ticket (also known as Repair Record) must be created on ISMP Asset & Configuration Management system.
    • In addition to enabling repair work tracking, a Repair Ticket also functions as an identification tag for the physical computing equipment, as they are moved.
    • The Asset & Configuration Specialist or Manager are responsible to create and print a Repair Ticket, and to physically attached it to the corresponding computing equipment.

    Handling Computing Equipment Repairs

    • Faulty Intel IT computing equipment may be sent for a repair-related evaluation, decision, and action.
    • The actions involved in updating the ISMP Asset & Configuration Management system whenever a faulty computing equipment is detected:
      • Raising a new Repair Record
      • Updating the Repair Record, when the faulty computing equipment is sent to a repair team for repair-related evaluation and actions.
      • Updating the Repair Record, when the computing equipment is received from the repair team, once it is repaired or when a conclusion is made.
      • Updating the repair Record, when the computing equipment needs to be returned to its manufacturer for a replacement or any other arrangements.

    Surplus Pickup Request

    • The Request Record Update is a function primarily for any Intel employee who is without the relevant record update permissions in ISMP.
    • There are 2 types of Surplus Pick Up Requests in ISMP:
      1. Intel Site Surplus Pick-Up
      2. Off-Site Surplus Pick-Up requests
    • Each depends on where the location of the physical computing equipment is, so 2 different request submission procedures exist.
